Your Annual Data Cleanup Checklist (Without the Boring Bits)

Your Annual Data Cleanup Checklist (Without the…

There’s a special kind of chaos that creeps into digital workspaces.

It starts small.

One extra board here. A “temporary” column there. A dashboard that made sense once… in 2023.

Then suddenly, everything feels heavier than it needs to be.

So before 2026 shows up demanding clarity, speed, and better decisions, this is your gentle nudge to do a quick annual data reset. No overhauls. No dramatic replatforming. Just a thoughtful clean‑up that makes everyday work feel lighter.

1. Put old boards to bed

If something hasn’t been opened in six months, chances are it’s not actively helping anyone.

That doesn’t mean it’s useless — it just doesn’t need to live front and centre anymore.

Archiving old boards:

  • Reduces noise when people search

  • Makes it easier to spot what’s actually active

  • Stops teams from accidentally working in outdated spaces

Think of it less as deleting history, and more as filing things away properly.

2. Remove fields that never earned their place

Most workspaces carry a few hopeful columns that never quite took off.

You know the ones:

  • Created with good intentions

  • Rarely (or never) filled in

  • Now just… sitting there

Unused fields slow people down. They make boards harder to scan and create uncertainty about what actually matters.

If a column isn’t providing insight, context, or action — it’s okay to let it go.

Clarity beats completeness every time.

3. Make dashboards work for humans again

Dashboards are meant to answer questions quickly.

But over time, they tend to collect widgets like souvenirs — interesting once, confusing forever.

This is a great moment to ask:

  • What do people actually look at?

  • What gets ignored?

  • What’s outdated or no longer relevant?

Bring the most important insights to the top. Group related information together. Retire widgets that belong to a past version of the business.

A good dashboard should feel obvious, not impressive.

4. Do a quiet permissions sweep

Access settings are one of those things everyone assumes are fine… until they’re not.

A quick permissions check helps you:

  • Prevent accidental edits

  • Protect sensitive information

  • Make sure the right people can actually do their jobs

It takes a minute. It saves a lot of awkward conversations later.

Start the year lighter than you ended it

You don’t need a brand-new system to feel organised.

Sometimes all it takes is:

  • Fewer distractions

  • Clearer signals

  • Spaces that reflect how you actually work today

Treat this as a small annual ritual — a reset that gives your team breathing room and sets a calmer tone for the year ahead.

Your data doesn’t need to be perfect.
It just needs to be intentional.
